Sponsorship Regulations

CONTRACT & PAYMENT

No sponsorship is reserved or secured until STN receives a completed Sponsorship Reservation Form and payment in full. STN may deny sponsor entry to the virtual event if sponsor is delinquent on any debt to STN on the date of the virtual event. STN may apply any payment received from sponsor to satisfy the delinquency.

EQUIPMENT

Sponsors and representatives of its company are responsible for procuring their own equipment in order to participate in the virtual conferences. Microphone and cameras are required. Reliable, high speed internet access is recommended. 

HOURS, SETUP & DEMO

Virtual Conference times and agenda are subject to change without notice. Please refer to our website for the most up-to-date schedule. Exhibiting sponsors are required to attend a virtual conference demo event prior to the start of the virtual event to test out equipment and receive training on the virtual platform. 

CODE OF CONDUCT

Harassment includes offensive verbal comments related to gender, sexual orientation, disability, physical appearance, body size, race, religion, sexual images in public spaces, deliberate intimidation, stalking, following, harassing photography or recording, sustained disruption of talks or other events, inappropriate language, and unwelcome sexual attention.

Sponsors participating in presentations, virtual trade show booths, one-on-one meetings and related chats are also subject to the anti-harassment policy. In particular, partners should not use sexualized images, activities, or other material. Staff, including volunteers, should not use sexualized clothing/uniforms/costumes, or otherwise create a sexualized environment. 

Sponsors shall use discretion when attending a session presented by a competitor’s company. Sponsors shall not attend a competitor’s session with ill intent, aggressive or soliciting behaviors. Sponsors shall refrain from scheduling private meetings with participants during other scheduled sponsored sessions and one-on-one meetings. Sponsors shall not utilize the live session function in their company listing except during dedicated sponsor meet and greet hour. 

Participants asked to stop any harassing behavior are expected to comply immediately. Warnings may be issued, or participants may be asked to leave, and sponsorships may be terminated without the option for a refund at the sole discretion of the conference organizers. 

Be careful in the words that you choose. Remember that sexist, racist, ableist, and other exclusionary jokes can be offensive to those around you. Excessive swearing and offensive jokes are not appropriate for STN.

If a participant engages in behavior that violates this code of conduct, the conference organizers may take any action they deem appropriate, including warning the offender or expulsion from the conference with no refund.

EVENT POSTPONEMENT/CANCELLATION

In the event that STN postpone or cancels a hosted conference for any reason, refunds will not be issued. Sponsors may request to transfer paid sponsorship fees with STN Media Group/School Transportation News as payment towards a future STN hosted conference or towards other advertisement opportunities in STN’s digital or printed press.

EXHIBITOR CANCELLATION

STN will refund sponsor payment less a $150 processing fee and any other debt sponsor owes STN, if sponsor notifies STN of cancellation in writing via email no later than the first day of the month (March 1, 2021) of the virtual event.

ATTORNEY’S FEES

If a dispute arises out of this agreement, the prevailing party shall be entitled to recover its attorney’s fees against the non-prevailing party, in addition to any other relief.

GOVERNING LAW & JURISDICTION

This agreement shall be interpreted under California law. Jurisdiction and venue for any dispute shall be Los Angeles County, Calif., Torrance Judicial District.

CONSTRUCTION

No ambiguity in this agreement shall be interpreted against the drafter. STN shall have final authority to interpret all rules and regulations governing the virtual event.
